Who we are
This privacy policy applies to the website gopaljimahavidyalaya.org (and its current Cloudflare Pages preview gjm-college-site.pages.dev), the CampusOS student/parent portal at gjm-erp.pages.dev/portal, and the official Android app of Gopal ji Mahavidyalaya (package id in.edu.gjmahavidyalaya).
The data controller is Gopal ji Mahavidyalaya, Reoti, District Ballia, Uttar Pradesh — 277209.
What we collect
- Admission enquiries. When you submit the admission form, we collect your name, mobile number, optional email, optional address, programme of interest, and any message — solely to contact you about admission.
- Student / parent portal accounts. When you log into the portal, we identify you by your admission number / username and verify it against your hashed password. We log session identifiers via HttpOnly cookies; we do not track you across other sites.
- Student records. If you are an enrolled student, the college maintains the academic and administrative records that form the basis of a student-college relationship — admission details, fees, attendance, marks, certificates — accessible to you via the portal.
- Server logs. Our hosting provider (Cloudflare) records standard request logs (IP, timestamp, URL, status, user agent) for abuse detection and performance, typically for 30 days.
What we do NOT collect
- We do not use third-party advertising, marketing tags, or trackers (no Google Analytics, no Facebook pixel, no advertising ID).
- We do not sell or rent personal data to anyone, ever.
- We do not access your device contacts, location, camera, microphone, or storage.
How long we keep it
- Admission enquiries: retained while you remain a prospective student; deleted on request.
- Student records: retained as long as required by the affiliating university and applicable record-retention norms.
- Server logs: 30 days at the hosting provider, then automatically rotated.
Who we share with
Only with the affiliating university and statutory bodies (JNCU, NCTE, U.P. Higher Education Department) for the educational and administrative purposes those bodies require; with payment processors (Razorpay / your UPI app) when you pay online; and as required by Indian law.
Your rights — including data deletion
You can ask us to access, correct, or delete personal data we hold about you. Email [email protected] from the email you registered with, or write to the address above. We respond within 14 working days.
To delete an account on the Android app or the portal, email the same address with the subject "Account deletion" and your admission / enquiry number — we'll confirm and complete the deletion within 14 working days.
Children
This site and app are not directed at children under 13. Student users below 18 require a parent / guardian's consent during enrolment.
Security
Passwords are stored hashed using PBKDF2-SHA256. Authentication uses HttpOnly cookies over HTTPS. We do not store payment card details — payments are processed by Razorpay / your UPI app.
Changes
We may update this policy. Material changes will be announced on this page with a new "Last updated" date.
